Specific systems for specific problems.
- Workflow discovery + opportunity mapping
- Lead response, qualification, routing + follow-up
- Internal or client-facing knowledge assistants
- Reporting, content + client-service workflows
- CRM, inbox, calendar, form + database integrations
- Training, documentation + governance
The work between a lead arriving and a client being served.
AI systems are strongest where they plug into what marketing already produces: responding faster, routing cleanly, and reporting what actually happened. They are only as good as the data they can see, so they read from one shared data foundation.
AI opportunity review
Map one workflow and recommend the highest-value use case, including when the answer is not AI.
Build sprint
Create, test, and deploy a specific automation, assistant, agent, or integration.
Systems partner
Improve, maintain, and extend the system as your team and tools change.
Who this is for, and who it isn’t.
A good fit if
- Your team repeats the same steps every day: lead follow-up, reporting, intake, or client updates.
- Your information lives in tools that don’t talk to each other.
- Someone on your team can test early versions and give honest feedback.
- You want a system you own and understand, not a black box.
Probably not a fit if
- The process isn’t defined yet. We would start by defining it, which is useful but a different project.
- You want to replace roles that depend on judgment and relationships.
- The system would handle highly regulated data, such as health records. That is outside our specialty.
Every option works for someone.
| Question | Rudolph & Martin | Hire in-house | Large agency | Off-the-shelf AI tool | Freelancer |
|---|---|---|---|---|---|
| Time to start | Days to weeks | Months, including hiring | Weeks | Days | Days to weeks |
| Strategy and build | Same person does both | Depends on the hire | Yes, across a larger team | Build only; you bring the strategy | Usually one or the other |
| Who owns it | You, documented | You | Varies by contract | The vendor’s platform | You |
| Fits your tools | Built around what you use | Yes, over time | Often brings its own platforms | Only what it integrates with | Varies |
| Best when | You need the right problem found and the fix built | The work is constant enough for a full-time role | You need many channels run at scale | The problem is narrow and matches the tool | You have a well-defined task |
If one of the other options fits better, we will tell you.
No AI theater.
- A generic chatbot added because AI is fashionable.
- An automation nobody can understand or maintain.
- A promise to replace the people who hold your company’s real judgment.
Common questions
What if AI isn’t the right answer?
Then we will say so. Often the better fix is a clearer process, better measurement, or a standard automation with no AI in it. The review is there to find the right fix, not to justify a build.
What do you build with?
Whatever fits your stack: your CRM’s own automation, workflow tools such as Zapier, language-model APIs, and custom code where it is genuinely needed. We avoid adding platforms you would have to keep paying for without a reason.
How do you handle our data?
Systems run in your accounts with the least access they need. We document what data goes where, and nothing sensitive is sent to an AI service without your agreement.
Who maintains it after launch?
Everything is documented and handed over so your team can run it. If you prefer, we stay on as an ongoing partner to monitor, fix, and extend it.
How long does a build take?
A focused automation is often a matter of weeks; systems that connect several tools take longer. You get a timeline and a defined scope before work starts.
What does it cost?
It starts with a fixed-price opportunity review, so you know what you are buying. Builds are then quoted as a defined scope and price before anything starts.
Will this replace people on our team?
That is not the aim. We build systems to take repetitive steps off people’s plates, not to replace the judgment your team is paid for.
